In this role, you'll work in one of our IBM Consulting Client Innovation Centers (Delivery Centers), where we deliver deep technical and industry expertise to a wide range of public and private sector clients around the world. Our delivery centers offer our clients locally based skills and technical expertise to drive innovation and adoption of new technology.

Your role and responsibilities

As a Project Administrator, you will provide project support through managing project documentation and facilitating team communications. You will play a key role in ensuring the smooth execution of projects by handling various administrative tasks.

Your primary responsibilities will include:
• Manage Project Documentation: Set up and maintain the project control book, track issues and changes, and produce status reports to ensure that project information is accurate and up-to-date.
• Facilitate Team Communications: Schedule meetings, take minutes, create presentations, and arrange training for project staff to ensure effective communication and collaboration among team members.
• Support Contract Management: Manage assets, ensure audit readiness, provide financial process support, address issues, and report on measurements and project plan execution to support general contract management.
• Perform Financial Transactions: Handle financial and procurement transactions, including budget administration, analysis, record-keeping, and forecasting financial performance.
• Provide Administrative Support: Participate in budget administration, maintain records, and perform other administrative tasks as needed to support the project team.

Required education
Associate's Degree/College Diploma
Preferred education
Bachelor's Degree
Required technical and professional expertise

• Japanese language proficiency equivalent to JLPT N2 or above
• Exposure to Project Administration: Experience working with project documentation, tracking issues and changes, and producing status reports to ensure project information accuracy.
• Financial Process Support: Exposure to financial transactions, including budget administration, analysis, record-keeping, and forecasting financial performance to support project execution.
• Contract Management Support: Experience working with contract management processes, including asset management, audit readiness, and issue resolution to support general contract management.
• Communication and Collaboration Tools: Exposure to tools and techniques for facilitating team communications, including meeting scheduling, minute-taking, presentation creation, and training arrangement.
• Administrative Record-Keeping: Experience maintaining accurate and up-to-date records, including financial records, project documentation, and other administrative data to support project operations.

Preferred technical and professional experience

• Financial Analysis Tools: Exposure to financial analysis software and tools to support budget administration, forecasting, and financial performance tracking.
• Project Management Software: Experience working with project management tools and platforms to manage project documentation, track issues and changes, and produce status reports.
• Contract Management Systems: Exposure to contract management systems and processes to support asset management, audit readiness, and issue resolution.
