In this role, you'll work in one of our IBM Consulting Client Innovation Centers (Delivery Centers), where we deliver deep technical and industry expertise to a wide range of public and private sector clients around the world. Our delivery centers offer our clients locally based skills and technical expertise to drive innovation and adoption of new technology.
As a Project Management Assistant (PMA), you will provide essential financial, operational, and administrative support to project and delivery teams. Working closely with Project Managers, Business Controls, and Finance stakeholders, you will help ensure accurate financial tracking, timely billing, and effective reporting throughout the project lifecycle.
Forecasting & Reconciliation· Set up and maintain project financials in designated financial management systems (e.g., IPPF, Excel), including handling pre‑contract‑work conversions.
· Store and maintain required project financial documentation in accordance with local document retention policies.
· Perform, review, and validate planning, forecasting, and cost estimation activities (hardware, software, services, and other elements).
· Conduct financial reconciliations and assist in resolving discrepancies.
· Support financial issue resolution and request accounting adjustments (accruals, deferrals, amortizations, etc.).
· Recommend profit‑improvement actions.
Financial Reporting & Analysis· Use standardized reporting tools to analyze contract gross profit (GP), labor hours, and expenses for cost‑control purposes.
· Evaluate billable vs. non‑billable labor and expense allocations.
· Participate in financial reviews, financial planning sessions, and business control reviews.
Billing & Invoicing· Collect, consolidate, and reconcile billing data from various sources for labor, travel, and miscellaneous charges.
· Calculate billing elements such as billing rates, daily rates, rebates, ECA/COLA, discounts, hold‑backs, monthly billing, and other specialized billing requirements.
· Reconcile time‑claiming data to client time‑keeping systems.
· Prepare supporting artifacts for customer invoices (e.g., completion reports, timesheets, client approvals, POs, billing attachments).
· Submit billing requests for approval using billing applications.
· Track billings against milestones and purchase orders.
· Initiate requests for manual invoices, pro‑forma invoices, and credit adjustments with required approvals.
· Support Accounts Receivables (A/R) follow‑up and dispute resolution, including cash‑application activities.
Contract Changes & Closure· Request creation, extension, or updates to work numbers and work items.
· Support project change requests (PCRs), updating related tools/systems and securing necessary approvals.
· Facilitate contract and work‑number closure tasks.
· Experience in financial operations, project administration, or business support roles.
· Familiarity with forecasting, billing, or contract‑management processes.
· Proficiency with financial and productivity tools (e.g., Excel, financial management systems), including financial management tools.
· Strong analytical skills with the ability to interpret financial and operational data.
· Ability to manage multiple tasks while maintaining accuracy and attention to detail.
· Ability to follow structured processes and adhere to compliance, documentation, and audit requirements.
· 1+ year of experience in similar roles
· Understanding of basic accounting principles (accruals, deferrals, cost allocation).
· Strong communication and collaboration skills for working with cross‑functional teams.
· Knowledge of hybrid cloud, consulting services, or IT delivery models.
· Background in finance, business administration, project management, or similar fields.
· Ability to identify efficiency opportunities and recommend process improvements.
· Prior experience supporting project managers in a delivery or consulting environment.
