The Office of the CFO & Treasurer Division is hiring a new Project Coordinator to provide coordination and strategic support on a range of priorities, projects, initiatives and issues, and to support the strategic goals and objectives of the Office.

Reporting to the Director, Strategic Enterprise Integration and Modernization, the Project Coordinator should be someone enthusiastic to learn more about some of the critical priorities in support of the City's long-term financial sustainability, and is keen to provide their organizational skills, time management, and professionalism to ensure the success of the Office.

Major Responsibilities:

  • Provides coordination and strategic support to critical priorities and initiatives for the Office of the CFO’s, Strategic Enterprise Integration and Modernization unit
  • Leads the tracking of updates for major initiatives and projects, working closely with divisions across Finance & Treasury Services to ensure deliverables and milestones are being met for the overall program
  • Provides administrative support to the Director in areas such as coordinating logistics for major cross-divisional / corporate initiatives, scheduling and preparing materials for meetings with Members of Council, supporting planning for stakeholder engagement
  • Maintains, reviews, and summarizes documents and materials related to key or recurring meetings (e.g. preparation of presentation materials, development of surveys, preparation of minutes, identification and tracking of key action items, logistics planning for workshops)
  • Supports the annual budget process through preparation and coordination of key materials in support of the Director
  • Supports the Director, Strategic Enterprise Integration and Modernization with a variety of external communications and inquiries, such as developing appropriate responses within the Division on issues such as FOI, labour disruption plans and other sensitive issues, responding to telephone and email inquiries and correspondence from the public, elected officials and staff
  • Supports the Director, Strategic Enterprise Integration and Modernization Manager, with coordination and strategic support for Committee & Council matters including Agenda Forecasting support, briefing materials , and directives management for the service area.
  • Conducts research into assigned areas ensuring that such research takes into account developments within the field, corporate policies and practices, legislation and initiatives by other levels of government.
  • Provides additional program coordination support to the teams within the SEIM unit
  • Implements detailed plans and recommends policies and procedures regarding program specific requirements.
  • Supervises assigned projects, ensuring effective teamwork and communication, high standards of work quality and organizational performance and continuous learning.
  • Deals with highly confidential matters such as labour relations, human resources and hiring.
  • Leads and co-ordinates the divisional response for corporate special projects/programs in support of the Director such as Toronto Public Service Week, Take Our Kids to Work, etc.
  • Coordinates the implementation of new corporate software applications throughout the Office
  • Assists in the roll out of change management initiatives to support divisional transformation.
  • Develops and coordinates the records management storage and file plan for the Division.
  • Liaises with divisional budget, accounting and administrative staff.
  • Represents the division on Divisional and Corporate workgroup and committees such as Information Management, Business Continuity, Customer Service, Access, Equity & Human Rights.
  • Monitors changes to corporate policies and procedures and determines impact on divisional operations.
  • Coordinates and maintains ongoing tracking and follow up on Service Area directives with Divisional Management Team such as management information reports, health and safety initiatives.
  • Prepares regular reports with trend analysis to Divisional Management Team on such issues as Customer Service measures, Information Management.
  • Coordinates completion of divisional work plans with divisional staff.
  • Prepares documents for Divisional Management by conducting research, analysis and scrutiny of all applicable materials.
  • Acts as a liaison between the division and other divisions across the City, with respect to divisional and operational issues in order to establish, maintain and develop linkages to other divisions, agencies and boards to ensure effective partnerships within the corporation.
  • Attends meetings on behalf of the Office's management team, when requested.
  • Coordinates and supports the work of divisional and corporate initiatives related to the division.
  • Organizes staff retreats, divisional team meetings, events and various communication material as required.
  • Makes presentations to senior divisional staff ensuring information on divisional and corporate initiatives and policies is disseminated/understood.
  • Provides direction and composes content for the division's website (internal/external), working with Communication staff through design and production.
  • Develops reports for Council and briefing Notes for Senior Management Team and Senior Leadership Team.
  • Co-ordinates audit responses for the Modernization program across the projects
  • Provides additional support as required by the Director , including administrative support on an as-needed basis

Key Qualifications:

    1. Post-secondary education or certificate in a discipline pertinent to the job function (i.e. political science, urban studies, public policy, business administration, project management) or equivalent combination of education and experience.
    2. Experience providing program support, through reporting and co-ordination to large modernization initiatives (i.e. SAP) with multiple project
    3. Experience providing Document Management support with expertise in Sharepoint including workflow approvals
    4. Experience with procurement of external resources
    5. Experience co-ordinating responses to internal and external audits
    1. Excellent organizational and interpersonal skills with strong attention to detail.
    2. Advanced problem solving, conflict resolution, time management and task prioritization skills, including planning, organizing and coordinating various project activities for different stakeholders and assigned tasks.
    3. Strong facilitation and project management skills, including defining project objectives, project activities, milestones and deliverables, monitoring and tracking progress and communication with stakeholders.
    4. Considerable experience in preparing effective correspondence and communication to stakeholders at all levels including preparation of meeting minutes and providing input to key messages according to project objectives.
    5. Strong experiences using Microsoft Office Suite (e.g. Word, Excel, PowerPoint and MS Outlook).
    6. Strong customer service orientation along with an ability to establish and maintain effective stakeholder relationships.
    7. Excellent written and oral communication, presentation and interpersonal skills, and the ability to work cooperatively with others in an interdisciplinary team.
    8. Ability to conduct detailed and/or non-structured research or analysis of qualitative or quantitative data with minimum supervision, within tight deadlines.
    9. Strong analytical skills in managing, maintaining, assessing and reviewing data, standards and services to identify best practices and opportunities for improvements in service delivery.
    10. Strong knowledge of the City of Toronto's corporate policies and programs including business guidelines, lobbyist rules, the City's corporate strategic priorities, and other municipal standards.
