ABOUT THE ROLE
Amazon is seeking an experienced and highly strategic Executive Assistant to support a senior leader (VP, L10) within Retail Business Services (RBS) and serve as the Lead EA for the broader administrative team across the org. This role goes beyond traditional executive support — it is a demanding, high-stakes strategic leadership position. The EA operates as a force multiplier for the leader: thinking like the executive, not just executing tasks on their behalf. It requires exceptional organizational acumen, the ability to influence without authority, and a commitment to driving operational excellence across a matrixed, global organization.
This role operates across multiple global time zones — including India, the US, and Europe — and requires high availability to respond to time-sensitive situations as they arise. While the role demands flexibility and responsiveness, it also offers meaningful autonomy in how and when work gets done outside of core commitments. The right candidate thrives in ambiguity, is energized by complexity, and brings calm and structure to a fast-moving, high-pressure environment.
This role will not have direct reports but will provide oversight, mentorship, and coordination across the EA team within RBS, ensuring consistent, high-quality administrative support at scale.
Key job responsibilities
Strategic Partnership
- Serve as a trusted strategic partner to the VP, understand business objectives, team interdependencies, and organizational priorities
- Attend high-level meetings (QBRs, WBRs, leadership reviews) to maintain awareness of business direction and priorities
- Draft, edit, and send key leadership communications on behalf of the leader, demonstrating strong executive-level writing skills; convert complex discussions into crisp "what happened / so what / next steps" summaries
- Build and maintain strong partnerships with cross-functional stakeholders including PXT, Finance, Recruiting, and Legal
Executive Office & Calendar Orchestration
- Own the leader's calendar end-to-end — prioritization, tradeoffs, buffers, travel blocks, and focus time — across multiple time zones (IST, US, EU) with minimal direction
- Act as an intelligent gatekeeper: accept/decline requests based on business priorities, protect deep-work time, and manage inbound requests without escalating noise to the leader
- Prepare daily/weekly run sheets with meeting objectives, attendee context, pre-reads, and expected outcomes to ensure the leader is always prepared and time is never wasted
- Build and maintain operating rhythms: 1:1s, staff meetings, business reviews, QBRs, and leadership cadences across geographies
- Monitor key dates and deliverables across multiple organizational levels
Program & Project Management (PMO-lite)
- Drive follow-through on action items across cross-functional stakeholders — track owners, milestones, risks, and deadlines; build lightweight systems (trackers, templates, checklists) to ensure nothing falls through the cracks
- Support business reviews (MBRs/QBRs) by preparing dashboards, highlights, risks, decisions needed, and executive summaries
- Schedule DOC prep and ensure DOCs are ready and meeting the bar
- Support and at time lead projects that impact multiple organizations, driving org-wide improvements and standardization
- Simplify or eliminate processes that are no longer effective; leverage AI tools and emerging technologies to enhance EA team productivity
Meeting Excellence & Follow-Through
- Facilitate executive meetings end-to-end: define agendas, pre-reads, and decision points; capture decisions, owners, and deadlines; drive follow-ups to closure
- Coordinate leadership visits and plan team events, offsites, all-hands meetings, town halls, AMAs, fireside chats, and tech talks — including logistics, agendas, and vendor coordination
Organizational Management & Operations
- Oversee expense management and support budget tracking processes
- Coordinate complex domestic and international travel arrangements with detailed itineraries, visa requirements, and contingency planning — often across time zones and on short notice
- Develop and maintain standardized systems, SOPs, and mechanisms to ensure consistent operational excellence across the broader EA team
- Support headcount and space planning, onboarding of new team members, and other organizational operations as needed
- Manage organizational initiatives such as intern experience programs and team engagement activities
EA Team Oversight & Development
- Provide informal oversight, mentorship, and guidance to EAs within the RBS org, ensuring alignment on processes, standards, and best practices
- Serve as the primary point of coordination for the EA team, facilitating coverage planning, knowledge sharing, and cross-team collaboration
- Conduct regular syncs with the EA team to share updates, address challenges, and drive continuous improvement
- Represent the EA team's business impact to senior leadership
Leadership & Influence
- Effectively influence leaders, peers, and stakeholders across organizations without formal authority
- Serve as the executive-admin liaison, communicating with L8+ leadership on behalf of the senior executive
- Independently resolve escalations and make sound decisions with limited guidance
- Coach managers on effective EA partnerships and administrative best practices
- Identify team training needs and champion EA development initiatives
