Amazon Web Services (AWS) is looking for a dedicated, well organized, and customer-obsessed Executive Assistant to join Worldwide Marketing. This role will support senior leaders within the organization and requires superior attention to detail, great organization and prioritization skills, the ability to plan ahead and to meet tight deadlines, all while juggling multiple critical requests.
A high level of integrity and discretion in handling confidential information, and professionalism in dealing with leaders (at and outside Amazon) is important, as is the ability to be flexible and change direction seamlessly. The successful candidate will possess the ability to complete complex tasks and projects quickly with little guidance, react with appropriate urgency to situations that require a quick turnaround, and want to take on varied and exciting new projects and learn new skills. You’ll need to take effective action without having to know the total picture, and efficiently and proactively solve difficult or complex problems that affect people within the department or other related groups.
As an Executive Assistant, you will be responsible for a wide range of critical activities including complex calendar management, tracking key deliverables, coordinating travel and expenses, and organizing team activities and events (such as all–team meetings and employee engagement activities). Other responsibilities include, but are not limited to, coordinating meeting agendas, space planning, and ad hoc project coordination. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is important. In this role, you’ll have the opportunity to act as an extension of our leaders in partnership with a supportive and collaborative EA community.
This role requires five (5) days a week in office.
Key job responsibilities
- Manage the Global Head’s calendar, including scheduling large and/or complex internal and external meetings (with high-level executives, local stakeholders, or government officials) while paying close attention to global time zones
- Work closely with fellow coordinators/executive assistants to accommodate more complex meetings involving senior management
- Diligently submits and follows up on monthly expenses (personal and corporate, such as mobile phone bills and travel, both domestic and international) in a timely manner
- Provide relationship management support, which may include follow-up requests/calls, data entry, and more
- Identify administrative needs for the organization and initiate or willingly assist with projects to support those needs
- Perform other administrative support duties, as appropriate (e.g., visitor registration, food orders, parking, meeting note-taking, etc.)
- Coordinate large internal team meetings and events/outings (All Hands, brainstorms, presentations, trainings, community outreach, etc.)
- Be willing and able to travel as needed to support leaders schedule and priorities
