As Associate Delivery Project Management, you will play a critical role in supporting Project Managers and delivery teams to ensure successful project execution. Your primary responsibility is to manage administrative tasks related to IBM’s contractual obligations, working closely with IBM teams and third-party vendors. This includes reviewing Statements of Work (SOW), monitoring contractual responsibilities, and ensuring compliance throughout the project lifecycle.
You will provide project management support by tracking utilization of project hours, reporting milestone billing, and administering change control procedures for scope adjustments. In addition, you will assist in resolving IBM-owned issues that require internal actions. While you will work independently on assigned tasks, you are expected to keep Project Managers and leadership informed of progress, promptly escalate risks, and collaborate effectively under their guidance. For smaller projects, you may take ownership of the overall project plan, budget, structure, and schedule.
As Project Manager Assistant your primary role responsibilities are (not limited to):
- Work with Project Managers to provide a framework to Software Expert Labs project teams
- Coordinate and manage the activities of project personnel
- Create regular status reports
- Develop knowledge of Software Expert Labs offerings with awareness on emerging technologies and solutions
- Administer the contract change control procedure with the client
- Review the SOW and the contractual responsibilities of both parties with your Project Manager
- Ensure Project Health is updated and maintained in Clarizen
- Provide Forecasting on projects you own
- Ensure Project Burn Rate is maintained and accurate
- Report utilisation of project billing
- Perform Invoice reconciliation
- Perform monthly financial forecasting and report it to Project Manager and Delivery Managers
- Perform resource onboarding and tracking
- Assist with resolution of IBM owned issues that require IBM internal actions
- Provide and/or support the regular status reporting to and with internal key stakeholders against goals, objectives & milestones. Management supports wrt budget (revenue/cost), claim, and capital.
- Adheres to Project Management standards and supports/assists Project managers, Market leaders, Contract Managers and Client delivery managers in ensuring that our BU's financial targets are met as a team
- Keep management cadence with the Project Manager and Delivery Leaders to provide insight on project status
- Familiarity and experience with project management processes and techniques
- Understanding of customer service, relationship management, and facilitation skills
- Understanding of effective communication concepts, tools and techniques; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors
- Solid personal leadership and management skills with a collaborative style
- Knowledge of successful approaches, tools, and techniques for dealing with changes and adapting to a changing environment; ability to adapt as needed
- Knowledge of methods and ability to grasp new concepts, acquire new ways of seeing things, and revise ways of thinking and behaving, with the understanding that this is an ongoing business necessity
- Understanding of the value of innovation and ability to develop new ideas and initiatives that improve the performance of the organization
- Knowledge of the techniques and the ability to work with a variety of individuals and groups in a constructive and collaborative manner
- Knowledge of effective self-management practices; ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgements as to prioritizing and time allocation
- Knowledge on the process of planning and arranging tasks and resources; ability to plan and organize both time and resources to get things completed while structuring and maintaining work in a systematic and highly methodical way
- Knowledge of approaches, tools, techniques for recognizing, anticipating, and resolving organizational, operational or process problems; ability to apply this knowledge appropriately to diverse situations
- Familiarity with software development processes
- Demonstrate leadership experience and ability to adapt, with willingness to readily take ownership of tasks and problems, which often extend beyond initial scope of responsibility
- Have initiative to actively seek new knowledge and improve skills
- Had an internship or work experience in corporate setting with demonstrated track record
- Ability to participate in a virtual office setting and maintain an active and dynamic presence via phone and email
- Identifies any issues and problems that need immediate focus and resolution in the area of planning, resourcing and financials.
- Leverage key resources across IBM to resolve issues quickly.
- Oversees business controls, security and compliance to achieve audit ready posture in the area of contracting (SOW's, ERO's, ICA's, etc).
- Fluency in written and spoken English and proficiency in another European language
- Bachelor of Science
- Proven track record of administrative role, including financial management responsibilities
